Assign Power User Edit Access to Categories and Individual Elements

All Administrators have Edit Access to any element.  This feature is designed to provide Power Users Edit Access to individual elements that meet the following criteria:

  • In a Category to which they have received Category-level Edit Access
  • To which they have element-level Edit Access
  • That they create
  • To which they have been designated the Technical Owner
  • For which they have permission to use the element's Data Source
  • For which they have at least View Access to one of component elements that are used in Multi-Metrics or Composite Metrics and Reports

Category and element Edit Access may be directly granted to a Power User or inherited from a Group to which the Power User belongs.  Edit access can be granted using the:

  • Category Editor
  • Group Editor
  • User Editor
  • Set Permissions button/pop-up on an element’s Editor

The ultimate result of a Power User’s being given Edit Access to a Category’s elements or an individual element is:

  • Edit icon is included on the Element’s tile and on the Viewer
  • Elements are in the Power User’s Element List grid
  • Power User is able to maintain the settings on the elements’ Editor and can use the Edit icon to the right of the Category setting on these elements to reach the Category Editor
  • Power User is able to view the Category Editor

DATA SOURCE ACCESS

Permission to use a Category's or an individual element's Data Source(s) is based on the type of Data Source

NOTE:this is a change from versions prior to 5.0

  • For Configurable Data Source(s) - such as SQL or Plug-ins:
    • When Edit Access is either directly assigned to a Power User,or when  Edit Access is inherited by a Power User from his/her Group, this Permission is granted automatically and shows in the Data Sources grid on the User Editor
  • For non-configurable Data Sources - such as CSV, Existing Metrics and Reports, or a Single Report, additional Privileges are required
  • For elements sourced from Datasets, additional Privileges are also required

ELEMENT-ONLY DIMENSION ACCESS

The general rule regarding Dimensions is as follows:

If a Power User is granted Edit Access to a Dimensioned element in one of these ways:

  • Inherits “edit access” from a Group at a Category or individual element basis
  • Is directly assigned Edit Access permission to a Category or individual Element
  • Being designated the Technical Owner of an element

Once the Power User is given permission to use the Data Sources, he/she receives "element-only" access to all of its Dimension Values.

ELEMENT OWNERS

VERY IMPORTANT RULE:

  • Business Owner receives NO automatic Permissions; this is a "memo" setting only.  As the designated Business Owner, both Power and Regular Users must be granted all related Permissions (Element, Dimension) to gain View Access to the Element.  Power Users require explicit Edit Access to maintain the element.

1. Granting Category Edit access to a Group

An Administrator can grant Category Edit Access to a Group via the Group Editor or using the Category Editor's Permissions pop-up as shown below.

1.1. Admin > Group > select an existing Group or Add a new Group

Using the Group Editor:

  1. On the Elements tab, select [+ Category to Group]
  2. On resulting pop-up, select a Category from the dropdown
  3. Set Grant conditional edit permission to Power User members to "yes"

Save

The Group's Member Power Users inherit Edit Access to the Category and all elements assigned to the Category subject to restrictions detailed here: Requirements to granting a Group Edit Access to a Category

1.2. Content > Categories > select an existing Category or Add a new Category

Using the Category Editor:

  1. Click on the Permissions button on far right of Category Editor
  2. Click on [+ Group access to Category]
  3. On resulting pop-up, select a Group from the pick list
  4. Set Grant conditional edit permission to Power User members to "yes"

Save

The Group's Member Power Users inherit Edit Access to the Category and all elements assigned to the Category subject to restrictions detailed here: Requirements to granting a Group Edit Access to a Category

2. Granting Category Edit access directly to a individual Power User

An Administrator can grant Category Edit Access to a Power User via the User Editor or using the Category Editor's Permissions pop-up as shown below.

2.1. Admin > Users > select an existing Power User or Add a new Power User

Using the User Editor:

  1. On the Elements tab, select [+ Category access to User]
  2. On resulting pop-up, select a Category from the dropdown
  3. Set Grant conditional edit permission to Power User to "yes"

Save

2.2. Content > Categories > select an existing Category or Add a new Category

Using the Category Editor:

  1. Click on the Permissions button on far right of Category Editor
  2. Click on [+ User access to Category]
  3. On resulting pop-up, select a Group from the dropdown
  4. Set Grant conditional edit permission to Power User members to "yes"

Save

3. Granting Element Edit access  to a  Group

An Administrator can grant element Edit Access to a Group via the Group or Element's Editor's Set Permissions pop-up (as shown below).

Once Edit Access to an Element is assigned to, or inherited by, a Power User, he/she:

  • Receives Element-only access to all Dimension Values If the element is Dimensioned
  • Receives Permission to use the element's Data Source as detailed below:
    • For Configurable Data Source(s) - such as SQL or Plug-ins:
      • Permission is granted automatically and shows in the Data Sources grid on the User Editor
    • For Non-Configurable Data Sources - such as CSV, Existing Metrics and Reports, or a Single Report, additional Privileges are required
    • For Elements sources  from Datasets, specific Dataset Privileges be must also be granted before he/she can edit the element
  • For Multi-Metric, Aggregate  or Composite elements; the Power User will automatically be granted View Access to at component element(s)

3.1. Admin > Group > select an existing Group or Add a new Group

Using the Group Editor:

  1. On the Elements tab, select [+ Element access to Group]; On resulting pop-up:
  2. You may enter a Category to limit the element search options below
  3. Select an element from dropdown
  4. Set Grant conditional edit permission to Power User members to "yes"

Save

3.2. Content > Elements > select an existing Element

Using the Element Editors:

  1. Click on the Permissions button in the Advanced tab
  2. Click on [+ Element access to User]
  3. On resulting pop-up, select a User from the dropdown
  4. Set Power User can edit element] to "yes"

Save

3.3. Adding Edit Access to a Multi-Metric

Note: Power User is automatically given view access to all source elements used in this Multi-Metric.

3.4. Adding Access to element created from a Single Report or Existing Metrics

Power User will not be able to edit this element until he is given view access to the Source Report. See how this can be done here: Existing Metrics and Reports

4. Edit Access to Elements Created by the Power User him/herself

When a Power User creates an element, the Power User receives:

  • Designation as the element's Technical Owner
  • Edit Access to the element
  • Select any existing Dimension for the newly created element and receive element-only access to all of the chosen Dimension's Dimension Values

IMPORTANT: A Power User can only create an element using a Data Source that he/she already has permission to use

5. Technical Owner of an Element

Only Administrators and Power Users can be designated a Technical Owner.  If an Administrator makes a Power User the Technical Owner of an element:

  • Receives Permission to use the element's Data Source if not already assigned
  • Has element-only access to all Dimension Values of a Dimensioned element (if not already accessible by the Power User)
  • Edit Access to the element
  • Automatic View Access to each component element to which the Power User does not already have Permission to view
  • Shows "Y" in Owner ? columns of grids on the User Editor and Permissions pop-up of the element

6. Impact on  Regular Users Inheriting Categories or Elements to which their Group has Edit Access

When a Regular User inherits access to a Category to which their Group has been granted Edit Access, the result is the same as if the Regular User is just granted Category access. Edit Access does not apply.  Regular User members of the Group DO NOT receive:

  • An Edit icon on tiles
  • An Edit icon on Viewers
  • Any Edit capability
  • Ability to view Category elements that are Dimensioned unless they have or are explicitly granted access to one or more Dimension Values and then can only view tiles and charts for those to which the user has Dimension Value access

A “N/A” entry appears in the Allow Edit Element column on the Categories grid on the User Editor

When a Regular User inherits access to an element that has Edit Access for the Group’s Power Users,  the result is the same as if the Regular User is just granted element View Access. Group members who are Regular Users do NOT receive:

  • An Edit icon on tiles
  • An Edit icon on Viewers
  • Any Edit capability
  • Ability to view an element that is Dimensioned unless the user has access to one or more Dimension Values and then can only view tiles and charts for those to which they have Dimension Value access

A “N/A” entry appears in the Allow Edit Element column on the Elements grid on the User Editor
