[Group Access] Checklist for granting Edit Access to an Element

In order to grant Group Edit Access to an Element, make sure that Group members have required Privileges and Permissions.  Reference the following sections covering Data Source and Dimension requirements for Group Power Users:

  1. Permission to use the element's Configurable Data Source (SQL / Plugin)
  2. Dataset-related Privileges and Permissions
  3. Non-configurable Data Source Privileges and source element Permissions
    • Privilege to Create Content using  CSV file
    • Privilege to Create Content using Existing Metrics and Single Existing Report.  All members require at least View access to a Composite element's source element(s).
    • Privilege to Create Content using Existing Reports
  4. Access to the Dimension and at least one Dimension Value if the element is Dimensioned

5.  Requirements for granting Regular Users Viewing Permissions

1. Element Sourced from a Configurable Data Sources (SQL / Plugin)

If the element is sourced from a SQL database or Plugin, the Group is automatically granted Permission to use the configurable Data Source.

2. Elements sourced from Datasets

If the element is sourced from a Dataset, the Privileges and Permissions discussed in the sub-sections below are required for Group Power Users.

2.1. Dataset-related Privileges

Group Power Users must have the following Privileges:

  • Create content using Datasets
  • Create Dataset

To assign these privileges to the Power User:

  1. Open the Group Editor > Info tab
  2. In the Privileges section click [+ Privilege to Group]. The pop-up opens.
  3. Select required Privileges from the list

Save your selection to confirm your action.

2.2. Dataset View Access    

Group Members must have View Access to the element's source Dataset:

To grant Group Members View Access to the Dataset:

  1. Access the Group Editor > Datasets tab
  2. Click [+ Dataset access to Group]. The Add Dataset Access to Group pop-up opens.
  3. Choose the required Dataset from the Name field
  4. Set Group members can edit dataset to 'no' since  only View Access is required; however, if Edit Access is granted to the Group, its Power Users have access to all Dataset Data even if a User Map is applied to the Dataset.

Save your selection to confirm your actions.

2.3. Element's Source Dataset with User Map

This requirement is relevant only if an User Map is applied to a Dataset.

Group members must either have:

  1. (Power User members only) Edit Access to the Dataset (inherited from the Group or granted independently), thus receiving access to all Dataset's Data
  2. (All members with Dataset View Access) At least one entry in the related User Map for each Group member

3. Non-configurable Data Source requirements

A non-configuable Data Source may require a Privilege and/or Permissions to make it possible for the Group's Power Users to edit the related element.

To learn about the nature of Non-Configurable Data Sources, refer to: Understanding Data Sources.  

3.1. CSV file

Group or individual Power User members must have the following Privilege if the element is sourced from CSV:

  • Create content using CSV files

To assign this privilege to a Group:

  1. Open the Group Editor > Info tab
  2. In the Privileges section click [+ Privilege to Group]. The pop-up opens.
  3. Select the required Privilege from the list

Save your selection to confirm your action.

3.2. Existing Metrics and Reports

If the element is sourced from one of the following, the Group's Power User members must have the related Create Content Privilege.  The Group or each of the Power Users must have access to the source element(s) as noted below.

Existing Metrics

  • Privilege granted on the Group Editor: Create content using Existing Metrics
  • Group (or Power Users individually)  must have View Access to the source Metric(s) given at Group Editor > Elements tab > [+ Element access to Group].

Existing Reports:

  • Privilege granted on the Group Editor: Create content using Existing Reports
  • Power Users do not require View Access to the source Report(s).  This is an exception to the component element View Access requirement.

Single Existing Report:

  • Privilege granted on the Group Editor:  Create content using Single Reports
  • Group (or Power Users individually)  must have View access to the source Report given at Group Editor > Elements tab > [+ Element access to Group].

Aggregate Metric

  • No Privilege is required
  • Group (or Power Users individually) must have View Access to the all of the source Metrics from which this element is aggregated, granted at Group Editor > Elements tab > [+ Element access to Group].

Multi-Metric

  • No Privilege is required
  • Group (or Power Users individually)  must have View Access to all of the source Metrics, granted at Group Editor > Elements tab > [+ Element access to Group].

NOTE: Granting Edit Access to the above types of elements follow very different rules when applied to an Individual Power User - see Requirements to granting Power User Edit Access to an Element

4. Dimensioned Elements

If the element is dimensioned, the Group (or Individual members) must be granted access to at least one Dimension Value of the Dimension associated with the element.

  1. Access the Dimensions tab in Group Editor
  2. Select [+ Dimension access to Group]
  3. Select the correct Dimension(s) on Pop-up
  4. If you have selected to grant specific Dimension Values, then click [+Dimension Value access to Group]
  5. Select one or more of the Dimension Values available for chosen Dimension

5. Requirements for Regular Users in the Group

In order for the Group's Regular Users to receive View Access to this element, the following Permissions are required:

  1. If the element's Data Source is a Dataset: Permissions to View the source Dataset, granted at Dataset Editor > Advanced tab > Permission
    • If a User Map is applied to a Dataset, iat least one entry for each Group Regular User must be included in the User Map associated with the Dataset.
  2. If the element is a Multi-Metric, Aggregate or a Composite Element: Permission to View source component elements.
  3. If element is Dimensioned: access to at least one Dimension Value of the Dimension associated with the element or to the whole Dimension.
