Understanding Folders vs. Categories

This article provides a brief overview of the distinctions and usage considerations of Folders versus Categories.

Folders

Purpose:

Provide personalized organization of content on the Homepage for individual Users or Groups. Folders are optional collections of content from one or more Categories shared with one or more Users/Groups. Users will only see Elements in a Folder to which they have View Permissions.

Use Case:

  • Ideal for temporary or flexible organization of content for specific teams or projects.
  • Enables customized user experiences and tailored views for groups or individuals.

Key Features:

  • Users can create their own Folders and choose content to include.
  • Supports sharing, email notifications, and Bursts for Folder content.

When to Use:

  • To customize and distribute content to specific audiences.
  • For personalized dashboards and ad-hoc organization of tiles and reports.

Categories

Purpose:

Organize and group content (e.g., Reports, Metrics, Datasets) across the platform in a structured hierarchy. Elements and Datasets in Metric Insights are created within a Category; the Category is required for these objects.

Use Case:

  • Required for content creation (Elements must exist in a Category).
  • Ideal for long-term, static content organization based on business domains (e.g., Sales, Finance) or data types.
  • It helps create a consistent, searchable taxonomy for enterprise-wide navigation.

Key Features:

  • Supports Subcategories for hierarchical organization.
  • Used to control visibility and access Permissions for content.
  • Users will not see Categories that they do not have permission to access.

When to Use:

  • To create a universal structure for content that applies to all users.
  • This is for content discovery and navigation by business domain or purpose.
