Folder Security

Folders have both Privileges and Sharing/Permissions.  

In Release 6.2.3, the Groups and Users with which the Folder can  be shared or Permission to Add/Delete Content granted are controlled via Security Limitations  to:

  • Groups to which the creating user belongs  or to which a Power User has Edit Access
  • Users who are members of the those Groups  

IMPORTANT: Power Users with Extended Security Privilege for Folders can share or grant Permission to Add/Delete Content to any Group or User.

Beginning in release 6.3.0, Folder Edit Permissions may be granted from both the Folder Editor and a Group or User Editor > Other Access.  Edit Access is available to both Power and Regular User and gives them the ability to make changes via the Folder's Editor.  Sharing from the Folder's Editor  grants "view access" unless "Add/Delete Content" is granted either on the Editor or via the Group/User Editors if the User has access to these Editors.

1. Assign Folder Privileges

 Group/User Editor > Info tab > {Add Privilege} button

Select Folder Privileges

  1. "Create Folders":  
    • Can be granted to either Regular or Power Users and allows creating Folders and sharing their content
    • Users with this Privilege can also grant Permissions to Foders that they create.
  2. Extended Security:  Allows Powers Users to grant Permissions to and Share Folders with any User or Group

[Save]

2. Share Folders:

 Content menu > Folders > Folder Editor > Sharing tab

Regular or Power Users without Extended Security for Folders who are editing a Folder can share with:

  1. Groups to which the creating user belongs
  2. Users who are members of the those Groups  

Admins and Power Users with Extended Security can share with any Group or User.

If a User or Group receives Permission to "Add/Remove Content" to/from the Folder Editor or from Group/User Editors (beginning in 6.2.5) are granted Edit Access regardless of the Editor from which Edit Access was granted .

A.  Share with a Group

  1. After clicking [Add Group]:
  2. Select a Group
  3. Choose whether or not the Group's members can see "Folder on Homepage": Example set to "Yes"
  4. Determine if the Group's members "Can Add/Remove Content" from the Folder:  Example set to "Yes"; i.e., receives Edit Access to the Folder
  5. [Save]
  6. Selected Group appears in "Groups with access" grid
  7. Both Group members of the Group appear in the "... Folder on Homepage" grid
  8. Both Group members of the Group appear in the "...Can Add/Remove Content" grid

B.  Share with a User

Only the three steps below apply.

  1. [Add User] in the "Users with Folder on Homepage" section
  2. Select a User

5.    [Save] to add the selected User to the grid

[Save] to add the selected User to the grid

Regular and Power Users with Edit Access to a Folder can share it.  Only the three steps below are required since the options are different than those shown for a Group.

  1. [Add User] in the "Users with Folder on Homepage" section

2.    Select a User*

  • Admins and Power Users with Extended Folder Security see all Users
  • Power Users without Extended Folder Security and Regular Users only see Users that belong to their Groups or members of Groups to which a Power User has Editor Access

5.    [Save] to add the selected User to the grid

3. Grant Folder Permissions

3.1. Grant Grant Edit Access via Folder Editor

Content menu > Folders > Folder Editor > Sharing tab > Users who Can Add/Remove Content section

All Users:  Content menu > Folders > Folder Edor > Sharing tab > Users who Can Add/Remove Content grid.

The following procedure is the same any type of User with Edit Access to a Folder.

  1. [Add User]
  2. Select a User*
  3. [Save]

* Security limitation apply:  

  • Admins and Power Users with Extended Folder Security see all Users
  • Power Users without Extended Folder Security and Regular Users only see Users that belong to their Groups or members of Groups to which a Power User has Editor Access

3.2. Grant Edit Access  via Group or User Editor

Admin:  Admin menu > Users & Group > Users or Groups tab > Editor > Other Access tab > Folder section

Power Users:  Admin menu > Groups > Group Editor > Other Access tab or via Folder Editor > Sharing tab > Folder Section (No access to any User Editor for Power Users)

The following procedure is the same for the Group or User Editor for Admins and from the Group Editor for Power Users with Edit Access to the Group:

  1. [+ Folder Edit Access to Group]
  2. Select a Folder from a list of those to which the User has Edit Access (except Admins who see all Folders)
  3. [Save]
